What is Gantt View?

Gantt View displays your cards on a timeline organized by team member. See who's working on what, when tasks start and end, and how your project schedule looks at a glance. Perfect for planning sprints, tracking deadlines, and managing team workload.

Accessing Gantt View

  1. Open your board - Navigate to any board with cards.
  2. Find the View toggle - Look for the view switcher in the board toolbar.
  3. Select "Gantt" - Click on the Gantt chart icon or option.
  4. View loads - Cards with start dates or due dates appear on the timeline.
  5. Switch views anytime - Toggle back to Board or Calendar view as needed.

Note: Only cards with a start date or due date will appear in Gantt View. Cards without dates won't be shown on the timeline.

Understanding the Layout

  • Left column - Lists team members (assignees). Cards are grouped by who they're assigned to.
  • Top header - Shows weeks and days. Week numbers and dates help you orient in time.
  • Milestone row - Displays project milestones as flags on specific dates.
  • Task bars - Colored bars represent cards. The bar length shows the task duration (start to due date).
  • Today indicator - The current day is highlighted in blue for easy reference.
  • Unassigned row - Cards without assignees appear in an "Unassigned" row.

Navigating the Timeline

  • Today button - Click to jump back to the current week.
  • Arrow buttons - Use the left/right arrows to move 2 weeks at a time.
  • Week selector - Choose how many weeks to display (4, 8, or 12 weeks).
  • Scroll horizontally - Drag or scroll to see more of the timeline.

Working with Tasks

  • Drag to reschedule - Click and drag a task bar to move it to a new date range. Both start and due dates move together.
  • Resize to adjust duration - Drag the left edge to change the start date, or the right edge to change the due date.
  • View task details - Hover over a task bar to see the full card title.
  • Color coding - Task bars use the card's label color or cover color for easy identification.
  • Overlapping tasks - When a team member has multiple tasks at the same time, they stack vertically.

Adding Milestones

Milestones mark important dates like releases, deadlines, or reviews:

  1. Click "Add Milestone" - Find the button in the Gantt toolbar.
  2. Enter a title - Name your milestone (e.g., "v2.0 Launch").
  3. Pick a date - Select when the milestone occurs.
  4. Choose a color - Pick from available colors to categorize milestones.
  5. Save - The milestone appears as a flag on the timeline.
  6. Remove - Click the X on any milestone to delete it.

Exporting to PDF

Share your project timeline with stakeholders by exporting to PDF:

  1. Click "Export to PDF" - Find the green export button in the toolbar.
  2. Select date range - Choose the start and end dates for your export.
  3. Click "Export" - The PDF generates and downloads automatically.
  4. Share - Send the PDF to stakeholders, print it, or include it in reports.

Best Practices

  • Set both start and due dates - This shows the full task duration on the timeline.
  • Assign all tasks - Assigned tasks group by team member for better workload visibility.
  • Use labels for categories - Label colors appear on task bars for quick identification.
  • Add milestones for key dates - Sprint ends, releases, and reviews are great milestones.
  • Check workload balance - Look for team members with too many overlapping tasks.

  • Use the 4-week view for detailed planning, 12-week view for big picture
  • Drag task edges to quickly adjust deadlines during standups
  • Export PDFs before stakeholder meetings for visual project updates
  • Color-code milestones by type (releases in red, reviews in blue, etc.)
  • Combine with AI time estimates to plan realistic schedules
