Working with Your Team

TaskBoard365 makes it easy to collaborate with your team. Invite members to your workspace, assign tasks, share boards, and communicate through comments and mentions.

Each team member can have different roles with varying levels of access, ensuring the right people have the right permissions.

Inviting Team Members

  1. Go to your workspace - Navigate to the workspace where you want to add members.
  2. Click "Invite Members" - Usually found in the workspace sidebar or settings.
  3. Enter email addresses - Add one or more email addresses, separated by commas.
  4. Select a role - Choose Admin, Member, or Viewer (see roles below).
  5. Click "Send Invitations" - Invitations are sent immediately.
  6. They receive an email - The invitation includes a link to join your workspace.

Understanding Member Roles

👑 Owner

Full control over the workspace. Can delete the workspace, manage billing, and do everything admins can do. There's only one owner per workspace.

⚙️ Admin

Can invite and remove members, create and delete boards, change workspace settings, and do everything members can do.

👤 Member

Can create cards, edit cards, add comments, upload attachments, and participate fully in the work. Cannot change workspace settings or invite others.

👁️ Viewer

Read-only access. Can view boards and cards but cannot make any changes. Great for stakeholders who need visibility. Viewers don't count toward member limits!

Managing Workspace Members

  1. Go to workspace settings - Click on the workspace name, then "Settings".
  2. Select "Members" - View all current workspace members.
  3. Change roles - Click the role dropdown next to any member to change it.
  4. View pending invitations - See invitations that haven't been accepted yet.
  5. Resend invitations - Click "Resend" if someone didn't receive their invite.

Managing Invitations

  1. View pending invitations - In workspace settings, see who hasn't accepted yet.
  2. Resend if needed - Click "Resend" to send another email.
  3. Cancel invitations - Remove pending invitations that are no longer needed.
  4. Invitations expire - Pending invitations expire after a set period (usually 7 days).
  5. Check spam folders - Ask invitees to check spam if they don't see the email.

Removing Team Members

  1. Go to workspace settings - Click "Settings" then "Members".
  2. Find the member - Locate them in the member list.
  3. Click "Remove" - Usually a button or icon next to their name.
  4. Confirm removal - They immediately lose access to the workspace.
  5. Note: Their work remains - cards they created and comments they made stay in place.

Board-Level Member Access

In addition to workspace members, you can add members to specific boards:

  1. Open the board - Navigate to the board you want to share.
  2. Click "Share" - Found in the board header.
  3. Add members - Enter email addresses of people to invite to just this board.
  4. Set board visibility - Private, Workspace (all members), or Public.
  5. Manage board members - Remove or change roles for board-specific access.

💡 Pro Tips

  • Use the Viewer role for stakeholders who need visibility but shouldn't edit
  • Viewers are free and don't count toward your plan's member limit
  • @mention team members in comments to notify them about updates
  • Assign cards to specific people to clarify ownership
  • Use the "Assigned to me" filter to see your personal task list
  • Set up workspace-wide visibility for boards that everyone needs access to
