What are Analytics?

TaskBoard365 Analytics gives you powerful insights into your team's productivity and project progress. View statistics about cards, completion rates, time tracking, and team performance.

Analytics are available on the Pro plan and provide visual dashboards that help you make data-driven decisions about your projects and workflows.

Accessing Board Analytics

  1. Open your board - Navigate to the board you want to analyze.
  2. Click the menu (⋮) - Found in the top right corner of the board.
  3. Select "Analytics" - The analytics dashboard opens in a modal or new view.
  4. View your statistics - See various charts and metrics about your board.
  5. Note: Analytics show data from the current board. Each board has its own analytics.

Understanding Card Statistics

The analytics dashboard shows several key metrics about your cards:

  • Total Cards - The total number of cards on your board, including completed ones.
  • Completed Cards - Number of cards that have been marked as complete or moved to a "Done" column.
  • Overdue Cards - Cards with due dates that have passed without being completed.
  • Cards by Column - A breakdown showing how many cards are in each column.
  • Cards by Priority - Distribution of cards across Low, Medium, and High priority.
  • Cards by Label - See which labels are used most frequently.

Completion Rate & Progress

  1. Completion Rate - Percentage of cards that have been completed vs total cards.
  2. How it's calculated - (Completed Cards / Total Cards) × 100
  3. Tracking trends - Watch how your completion rate changes over time.
  4. Set goals - Aim for a target completion rate to stay on track.
  5. Identify bottlenecks - Low completion rates may indicate workflow issues.

Time Tracking Analytics

If you're using time tracking, analytics shows:

  • Total Time Spent - Combined time tracked across all cards on the board.
  • Total Time Estimated - Sum of all time estimates for cards.
  • Estimate Accuracy - Compare actual time spent vs. estimated time.
  • Average Time to Complete - How long cards typically take from creation to completion.
  • Time by Column - See how long cards spend in each stage of your workflow.

Tracking Overdue Cards

  1. View overdue count - See how many cards have passed their due date.
  2. Identify patterns - Are certain types of cards consistently late?
  3. Take action - Prioritize overdue items or adjust due dates.
  4. Monitor trends - Track whether overdue counts are increasing or decreasing.
  5. Improve estimates - Use data to set more realistic due dates in the future.

Using Analytics for Better Decisions

  • Identify bottlenecks - If cards pile up in one column, investigate why.
  • Balance workload - Use assignee data to ensure fair distribution.
  • Improve estimation - Compare estimates vs. actual time to get better at planning.
  • Set WIP limits - Use column data to determine appropriate work-in-progress limits.
  • Report to stakeholders - Export data for status reports and meetings.
  • Celebrate wins - High completion rates and low overdue counts are worth celebrating!

Exporting Analytics Data

  1. Open analytics - Access the analytics dashboard for your board.
  2. Click "Export to Excel" - Download comprehensive board data.
  3. Choose what to include - Select which metrics and cards to export.
  4. Download the file - Excel file downloads with all your data.
  5. Create custom reports - Use Excel for additional analysis and visualization.
