Create and manage your project boards

What are Boards?

Boards are the foundation of TaskBoard365. Each board represents a project, workflow, or area of work. Boards contain columns (lists) and cards that help you visualize and manage your work using the kanban methodology.

Think of a board as a whiteboard where you can organize sticky notes (cards) into columns representing different stages of your workflow.

Creating a New Board

  1. Navigate to your dashboard - After logging in, you'll see your workspace dashboard with all your boards.
  2. Click "New Board" - Find this button in the top right area or within any workspace section.
  3. Enter a board name - Choose a descriptive name (e.g., "Q1 Marketing Campaign", "Product Roadmap").
  4. Select a background color - Pick a color that helps you identify the board quickly.
  5. Choose a template (optional) - Start with pre-configured columns like "To Do, In Progress, Done" or start blank.
  6. Click "Create Board" - Your new board will open ready for you to add columns and cards.

Customizing Board Appearance

  1. Open board settings - Click the three-dot menu (⋮) in the top right corner of your board.
  2. Select "Board Settings" or "Change Background" - This opens customization options.
  3. Choose a solid color - Select from the color palette for a clean, professional look.
  4. Or upload a background image - Use your own image to personalize the board (Pro plan).
  5. Changes save automatically - Your board appearance updates instantly.

Starring Favorite Boards

  1. Find the star icon - Located next to the board name in the header or on the board card in your dashboard.
  2. Click the star - The star fills in yellow to indicate it's favorited.
  3. Access starred boards quickly - Starred boards appear at the top of your board list and in the sidebar.
  4. Unstar by clicking again - Remove boards from your favorites anytime.

Sharing Boards with Others

  1. Click "Share" button - Found in the board header next to the board name.
  2. Enter email addresses - Add team members by their email addresses.
  3. Select their role:
    • Admin - Full control, can invite others and change settings
    • Member - Can create and edit cards and columns
    • Viewer - Read-only access (doesn't count toward member limits)
  4. Click "Send Invite" - They'll receive an email invitation.
  5. Manage existing members - Change roles or remove members from the share panel.

Board Settings & Visibility

  1. Access settings - Click the menu (⋮) in the board header and select "Settings".
  2. Edit board name and description - Update these anytime to keep them relevant.
  3. Set board visibility:
    • Private - Only invited members can see the board
    • Workspace - All workspace members can see the board
    • Public - Anyone with the link can view (read-only)
  4. Configure board-specific labels - Create labels that are unique to this board.

Archiving Boards

  1. Open board settings - Click the menu (⋮) and select "Archive Board".
  2. Confirm archiving - The board will be moved to your archive.
  3. Find archived boards - Access them from your dashboard under "Archived Boards".
  4. Restore if needed - Unarchive boards to bring them back to your active workspace.
  5. Note: Archived boards don't count toward your plan limits.

Deleting Boards

⚠️ Warning: Deleting a board is permanent and cannot be undone. All cards, comments, and attachments will be lost.

  1. Consider archiving first - If you might need the board later, archive instead of delete.
  2. Open board settings - Click the menu (⋮) in the board header.
  3. Select "Delete Board" - This option is usually at the bottom of the menu.
  4. Type the board name to confirm - This prevents accidental deletion.
  5. Click "Delete Permanently" - The board and all its contents will be removed.

💡 Pro Tips

  • Use descriptive board names that include project names or dates for easy identification
  • Star your most-used boards for quick access from the sidebar
  • Set board visibility to "Workspace" to share with all team members automatically
  • Archive completed projects to keep your dashboard clean while preserving history
  • Use different background colors to visually categorize boards by team or project type
