Organize your workflow with columns

What are Columns?

Columns (also called lists) represent the stages of your workflow. Cards move through columns as work progresses, giving you a visual representation of your process from start to finish.

Common column setups include "To Do → In Progress → Done" or more detailed workflows like "Backlog → Design → Development → Review → Testing → Complete".

Creating a New Column

  1. Open your board - Navigate to the board where you want to add a column.
  2. Find "+ Add Column" - Located at the right side of your board, after the last column.
  3. Enter a column title - Use a clear name that describes this workflow stage (e.g., "Review", "Testing", "Ready for Deploy").
  4. Press Enter or click "Add" - The column is created and ready for cards.
  5. Add cards - Start adding cards to your new column or drag existing cards into it.

Renaming a Column

  1. Click on the column title - The title becomes editable.
  2. Type the new name - Enter your updated column name.
  3. Press Enter or click away - The new name is saved automatically.
  4. Alternative method: Click the column menu (⋮) and select "Rename".

Reordering Columns

  1. Click and hold the column header - Grab the column by its title area.
  2. Drag left or right - Move the column to its new position.
  3. Drop in place - Release to set the column's new position.
  4. The order is saved automatically - All cards within the column move with it.

Setting WIP Limits

WIP (Work In Progress) limits help prevent overloading any stage of your workflow:

  1. Click the column menu (⋮) - Found at the top of the column.
  2. Select "Set WIP Limit" - Opens the limit configuration.
  3. Enter a number - This is the maximum cards allowed in this column.
  4. Save the limit - The column now shows the limit in its header.
  5. Visual warning - When approaching or exceeding the limit, the column header changes color.
  6. Why use WIP limits? - Prevents work from piling up and helps identify bottlenecks.

Column Settings & Features

Access column settings from the menu (⋮) in the column header:

  • Mark as QA Column - When enabled, cards leaving this column to earlier columns increment a "reject count" for quality tracking.
  • Archive All Cards - Quickly archive all completed cards in a column.
  • Move All Cards - Move all cards from this column to another column.
  • Sort Cards - Sort cards by due date, priority, or creation date.
  • Copy Column - Duplicate the column structure (without cards).

Deleting a Column

⚠️ Warning: Deleting a column will also delete all cards in that column. This cannot be undone.

  1. Move cards first - If you want to keep the cards, move them to another column.
  2. Click the column menu (⋮) - Access the column options.
  3. Select "Delete Column" - A confirmation dialog appears.
  4. Confirm deletion - The column and any remaining cards are permanently removed.

Basic Workflow

To Do → In Progress → Done

Software Development

Backlog → Ready → In Development → Code Review → Testing → Done

Content Creation

Ideas → Writing → Editing → Review → Scheduled → Published

Sales Pipeline

Leads → Contacted → Qualified → Proposal → Negotiation → Closed Won / Closed Lost

💡 Pro Tips

  • Keep column names short and action-oriented
  • Aim for 3-7 columns to keep your board manageable
  • Use WIP limits to prevent bottlenecks and overwork
  • Consider a "Blocked" column for items that can't progress
  • Put your "Done" column at the far right for a sense of completion
  • Regularly review and optimize your workflow stages
