Break down tasks into manageable steps

What are Subtasks?

Subtasks allow you to break down a task's work into smaller, trackable items. Each subtask item can be checked off as completed, giving you a visual progress indicator.

You can add multiple subtasks to a single task. This is perfect for complex tasks that have multiple steps or phases of work.

Adding Subtasks

  1. Open the task - Click on any task to open its details.
  2. Find the Subtasks section - Look for it in the task details.
  3. Click "Add an item" - Start adding your first subtask.
  4. Enter the subtask text - Type what needs to be done.
  5. Press Enter to add - The subtask is created and appears in the list.

Adding Multiple Subtasks

  1. Click "Add an item" - Found in the Subtasks section.
  2. Type the item text - Describe the subtask clearly and concisely.
  3. Press Enter - The item is added and you can continue adding more.
  4. Add multiple items quickly - Press Enter after each item to add another.
  5. Click away to finish - Click outside the input to stop adding items.

Completing Subtasks

  1. Click the checkbox - Click the square checkbox next to any item.
  2. Item is marked complete - A checkmark appears and the text is struck through.
  3. Progress bar updates - The subtasks progress indicator shows your completion percentage.
  4. Uncheck to undo - Click the checkbox again to mark an item as incomplete.
  5. Task shows progress - The task card displays a progress indicator showing subtask completion.

Editing Subtasks

  1. Click on the item text - The item becomes editable.
  2. Modify the text - Update the item description as needed.
  3. Press Enter or click away - Changes are saved automatically.
  4. Reorder items - Drag and drop items to change their order in the list.

Assigning Subtasks

  1. Hover over an item - Action icons appear on the right side.
  2. Click the assign icon - A member selector appears.
  3. Select a team member - The item is assigned to them.
  4. Their avatar appears - Shows next to the item to indicate ownership.
  5. Add due dates (optional) - Some items support individual due dates.

Deleting Subtasks

To delete a single item:

  1. Hover over the subtask item
  2. Click the trash/delete icon that appears
  3. The item is removed immediately

To clear all subtasks:

  1. Delete each item individually
  2. Or remove the entire task if no longer needed

Organizing Subtasks

A single task can have many subtasks. This is useful for organizing different phases or categories of work:

  • Sequential steps: Order subtasks in the sequence they should be completed
  • Category-based: Group similar subtasks together
  • Priority-based: List most important items first
  • Dependency-based: Order items based on what needs to be done first

  • Use subtasks for any task with more than 3 steps
  • Keep subtask items actionable and specific
  • Order items in the sequence they should be completed
  • Break complex work into small, manageable pieces
  • Check the progress bar on tasks to quickly see completion status
  • Use subtasks to maintain momentum and track progress
